1. Who and what this covers

This policy applies to the services we operate (the “Services”):

  • WealthWaveONE at wealthwaveone.com, including Teams, Scheduling, Milestones, training and courses, marketing tools, calculators and member dashboards.
  • Our public websites, including wealthwave.com and the TheMoneyBooks sites, along with event registration and book pages.
  • Member pages and tools, including Financial Educators’ personal websites, WealthWave Me pages and public booking pages, the Financial Literacy Quiz and company quizzes, Shop Your Term and the online calculators.

The people covered include WealthWave Financial Educators and other members (“Members”), visitors to our websites, and people whose information reaches the Services because they filled in a form or because a Member entered it, such as prospects, clients, family members and people booking a meeting.

Information a Member controls. Members use the Services to manage their own contacts, appointments and client households. We store and process that information for the Member, and the Member decides how to use it. WealthWave Financial Educators are responsible for how they use information about the people they work with. If you are one of those people, you may want to contact the Financial Educator first, and you can also contact us at any time.

Financial products. This policy does not cover insurance or financial products you obtain from a Financial Educator or from the company issuing the product. Those relationships have their own privacy notices.

  • Service providers, such as updates to your account and billing status from Outseta and Stripe.

3. Cookies and automatic collection

When you use the Services we and our providers automatically collect some technical and usage information:

  • Usage: pages you view, features you use, and when you were active. When you are signed in, this is tied to your account.
  • Device and network: IP address, browser and device type, which our systems and providers may process for security, spam prevention and to deliver pages. We record IP address and browser details with certain items, such as feedback, two-step sign-in and passkeys, and security events.
  • Errors: technical reports when something breaks, so we can fix it.

We use cookies and similar browser storage for these purposes:

Embedded services, such as video players, translation and font and script libraries, can also receive your IP address and set their own cookies under their own policies.

You can block or delete cookies in your browser settings, but sign-in and some features won’t work without them.

Do Not Track and Global Privacy Control. The Services don’t currently change their behavior in response to Do Not Track or Global Privacy Control signals. Because we do not sell personal information or share it for targeted advertising, there is no such activity for those signals to turn off.

4. How we use information

  • To provide the Services: create accounts, run teams, match trainers and appointments, book meetings, deliver courses, calculate results and produce reports.
  • To connect you with a Financial Educator when you fill in their form, take their quiz or book with them.
  • To process payments and manage subscriptions.
  • To communicate: confirmations, reminders, account and security notices, responses to your requests, and information about the Services and events.
  • To improve the Services: understand usage, fix problems and develop features.
  • To produce combined statistics that don’t identify individuals, such as Financial Literacy Quiz results by group. Employers using a company quiz see combined results.
  • To protect people and the Services: prevent fraud, spam and abuse, keep records of sensitive access, and enforce our terms.
  • To meet legal obligations and respond to lawful requests.

5. Service providers

We share information with companies that work for us. They receive what they need to provide their service, and the list below shows the main ones. Some apply only when you use a particular feature.

6. Other sharing, and who sees what

We do not sell personal information. We also share it in these situations:

  • With the Financial Educator on the page you use. If you fill in a form, take a quiz, request a book or book a meeting on a Financial Educator’s page, they receive your details and answers, and those details may be added to their contacts. Your details may also go to a WealthWave inbox. A Financial Educator who uses the Email Add-On can add you to their marketing list.
  • With a Financial Educator’s leaders. Team leaders in a Member’s organization can see certain activity in the Member’s downline. On the Member dashboard this can include leads’ names, phone numbers and email addresses, and booking answers.
  • Within Teams. Team leaders, their assistants and assigned trainers see team members’ progress and the appointment and prospect details that a Member shares in a trainer request, and viewing of those details is logged. Personal contacts stay with the Member unless the Member shares them.
  • In Milestones. A household is available to the Financial Educator who owns it. Bank transaction detail is shown to the Financial Educator only if the family chooses to allow it. Access is logged.
  • With employers using a company quiz. The Financial Educator running the quiz sees individual results. The employer sees combined results.
  • On public pages. Member websites, WealthWave Me pages and booking pages show the details the Member publishes.
  • With WealthWave staff. Authorized staff can access information to operate the Services, give support and keep them secure. Staff actions taken on behalf of a team are logged.
  • For legal reasons. We may disclose information to comply with law or legal process, to protect the rights, safety and property of people or of WealthWave, and to investigate fraud or abuse.
  • In a business transaction. If we are involved in a merger, sale of assets or similar transaction, information may transfer as part of it, and this policy or an equivalent notice will continue to apply to it.
  • With your direction. We share information when you ask us to, for example by connecting another service.

We may also share combined or de-identified information that can’t reasonably be used to identify you.

7. Google user data

You can choose to connect a Google account to Teams or Scheduling. This section describes how we handle information we receive from Google.

WealthWaveONE’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

What we access

  • Connect Google Calendar in Teams asks for your Google account’s email address and permission to manage calendar events. Google describes this permission as viewing and editing events on all your calendars. We use it only to add, change and remove the events Teams creates for your own appointments. We do not read your other events.
  • Google Calendar in Scheduling, for Members who have it, also asks for your free and busy times and the names of your calendars. We use these to stop people booking you when you are busy and to let you choose calendars. It adds your bookings to your calendar, including the name, email address and phone number of the person booking.

What we store and how we use it

  • We store your Google account’s email address and ID, encrypted access tokens, which calendar events we created, and a log of our calls to Google with their result. In Scheduling we also store the busy times we read, for as long as they are needed to show availability.
  • A Teams event contains the appointment type, one first name and a link to the appointment. It doesn’t contain the prospect’s name, the address or the meeting link.
  • We use Google user data only to provide these calendar features to you.

What we don’t do

  • We do not sell Google user data or use it for advertising.
  • We do not use it to develop, improve or train generalized artificial intelligence or machine learning models.
  • We do not share it with anyone except as needed to provide these features, to comply with law, or as part of a business transaction described in section 6.
  • Our people do not read it unless you agree, it is needed for security or to investigate abuse, or the law requires it.

Disconnecting

You can disconnect at any time in Teams under Me › Add to My Calendar, or in your Scheduling settings. You can also remove our access in your Google Account settings. When you disconnect in Teams, we remove your upcoming Teams events from your calendar and delete your stored tokens and our record of those events. To have other Google-related data deleted, email support@wealthwave.com.

8. Bank account data

Where it is offered in Milestones, a family can link bank and other financial accounts through Plaid. Plaid’s handling of your data is described in its End User Privacy Policy. We receive account and transaction information, which we store encrypted and use to prepare the family’s Milestones analysis. We never receive your bank sign-in password. You can remove a linked account at any time.

9. Artificial intelligence features

Some features use artificial intelligence services. Text from certain Milestones conversations and drafts, with sensitive numbers removed first, and the description a team leader gives when building a team process, can be sent to Anthropic to generate a result. Paper forms scanned in Milestones are read using Amazon Textract and, where that option is on, Anthropic, and the images aren’t kept after scanning. Under these providers’ commercial terms, this content isn’t used to train their general models. Please review AI-generated results before relying on them.

10. Email and text messages

Service messages. We send messages about your account and activity, such as confirmations, appointment notices, reminders, security alerts and billing notices. Most of these are needed to run the Services.

Marketing email. We and Financial Educators may send information about the Services, events and other topics. Use the unsubscribe instructions in the message where provided, or email support@wealthwave.com to opt out of our marketing email. To leave a Financial Educator’s list, use the link in their email or contact them.

Calendar invitations. Appointment emails can include a calendar invitation or file, which your email or calendar provider may add to your calendar automatically, depending on your settings.

Text messages. The Services do not currently send text messages through a messaging provider. Buttons marked Text open your own phone’s messaging app. If we add a text program, we will ask for your consent first. Mobile opt-in information will not be shared with third parties for their marketing.

11. Your choices and rights

  • Your profile: Members can update most profile details in their account.
  • Connected accounts: disconnect Google Calendar, Zoom or linked bank accounts at any time.
  • My Calendar Link: turn it off or replace it under Me › Add to My Calendar.
  • Cookies: manage them in your browser.
  • Requests: email support@wealthwave.com to ask for access to, a copy of, correction of or deletion of your personal information. We’ll need to confirm who you are before acting on a request.

We may keep information where the law requires or allows it, for example for tax and accounting records, security, or to resolve disputes. If your information is held for a Member, such as in their contacts, we may refer your request to that Member or act on it together with them.

12. U.S. state privacy rights

Depending on where you live, including California and other states with comprehensive privacy laws, and to the extent those laws apply to us, you may have the right to:

  • know what personal information we collect, use and disclose, and get a copy of it;
  • correct inaccurate information;
  • delete your information, with some exceptions;
  • opt out of the sale of personal information, sharing for cross-context behavioral advertising, targeted advertising, and certain profiling. We don’t do any of these;
  • limit or, in some states, consent to the use of sensitive information. We use it only to provide what you asked for and for the other permitted purposes in this policy; and
  • not be discriminated against for using these rights.

To make a request, email support@wealthwave.com with the subject “Privacy Request.” You can use an authorized agent where the law allows, and we may ask for proof of their authority. If we deny your request, you may be able to appeal by replying to our decision. We aim to respond within the time the law requires, generally 45 days.

California notice. In the past 12 months we have collected these categories, described in section 2: identifiers; customer records; protected characteristics such as age, gender and ethnicity where you give them; commercial information; internet activity; approximate location such as state and ZIP code; financial information; professional information; and sensitive information. We collect them for the purposes in section 4 and disclose them to the recipients in sections 5 and 6. We have not sold personal information or shared it for cross-context behavioral advertising, and we have no actual knowledge of doing so for anyone under 16. California residents may also ask about disclosures to third parties for their direct marketing, and we do not make such disclosures for third parties’ own marketing, other than to the Financial Educator on the page you use as described in section 6.

13. How long we keep information

We keep personal information as long as it is needed for the purposes in this policy, generally for as long as your account or the relevant Member’s account is active and for a reasonable period afterward. How long depends on what the information is, why we have it, and our legal, tax and security needs. Some short-lived items, such as sign-in links and failed background job records, are removed automatically. Backups and logs may keep information for a further period until they are replaced. When you make a valid deletion request, we delete or de-identify the information unless we need to keep it for a reason described in section 11.

14. Security

We use administrative and technical safeguards designed to protect personal information. These include encrypted connections, encryption of sensitive fields such as Milestones household data, booking details, connection tokens and Teams prospect details, filtering of sensitive data from logs, rate limiting, hashed and signed links, and access logs for sensitive records. Milestones also offers two-step sign-in and passkeys.

No system is completely secure, and we can’t guarantee security. Please keep your sign-in details private and tell us right away if you think your account has been compromised. If a breach affects your information, we will notify you as the law requires.

15. Children

The Services are intended for people 18 and older. We do not knowingly collect personal information from children under 13, or market to them. If you believe a child has given us personal information, contact us and we will delete it. A Member may enter limited details about a client’s children in Milestones as part of a family’s plan, and that information is handled as part of the household’s record.

16. Visitors outside the United States

The Services are operated from the United States and information is stored and processed there. Other countries may have different data protection laws. If you use the Services from outside the United States, including Canada, your information will be transferred to the United States. Where the law of your country gives you additional rights, you can use them by contacting us.

The Services link to and embed services we don’t control, including social networks, video players and the websites of companies whose products a Financial Educator may discuss. Their own privacy policies apply, so please read them.

18. Changes to this policy

We may update this policy. We’ll change the effective date above, and if a change is significant we’ll give additional notice, such as in the Services or by email. Changes apply from the effective date unless the law requires otherwise.
